When the time comes to streamline your business, making redundancies can be the hardest part of the process. The regulations surrounding redundancy can feel like a minefield of potential litigation.

Making sure you follow the rules can not only protect you from costly tribunals, but make the whole process less emotional for all involved.

Once the need to make redundancies has been established, there are several stages which the employer will need to go through in order to ensure that their obligations are met.

Establishing Redundancy Criteria

The main reason why redundancy should be considered is so that your workforce is as effective and streamlined as possible to ensure the success of your business. Deciding upon clearly defined selection criteria is the fairest way to make sure that all employees are treated equally, especially in regards to the way in which they can bring benefit to the company. Some suggested criteria you can consider include the following:

* Adaptability - this is especially important if your company is moving into a new sphere or market in order to progress: you will need to retain those employees who can cope best with change and have the ability to adapt.

* Skills - keeping a good cross section of skills can help keep your workforce balanced and effective.

* Performance " it is a wise move to retain your hardest-working employees. You will require documented evidence to support your decisions to avoid potential complaints of unfair treatment.

* Attendance " this is an appropriate criterion, but only if applied fairly and consistently. Remember that you should not use lack of attendance due to maternity, paternity or adoption leave as a decision regarding redundancy.

In an ideal situation, to make sure that the selection process is as fair and equal as possible, a combination of the above criteria should be considered.

Consultation With Employees

Consultation is a vital part of the redundancy process. This is because it will minimise the likelihood of unfair dismissal claims and it will also ensure that you retain those members of the team who are motivated through your transparent communication.

If it is possible you will be making more than 20 positions redundant within a 90-day period, you will also be required to inform the Department for Business, Enterprise and Regulatory Reform.

Rumours and speculation are unavoidable in times of change such as these. It is extremely important, therefore, to be as open and honest as possible so as to avoid unnecessary confusion. You should let those at risk know at the earliest possible point the reasons for the redundancies, the positions and departments affected, the likely number of employees at risk and the specific criteria you will be using in the selection process. Keep the lines of communication open with both the at risk employees and those you will be retaining as this will minimise any ill feelings and in turn reduce the chances of an unfair dismissal claim.

Providing Assistance

Even though you are not legally required to do so, it is a good idea to assist those you have selected for redundancy in as many practical ways as possible. Outsourced Medical Billing must pursue underpayments

You are losing up to ten percent of your collections if payer underpayments are not being aggressively pursued by your outsourced medical billing company. Medical billing services have a number of basic steps they should incorporate into their billing process. These steps should include using a claims scrubber, use of no-response calls, posting zero pays, pursuing underpayments, and using likelihood of payment scores for patient collections.

Pursuit of underpayments starts with a critical step: comparison of EOBs to your contractual allowables (the payment your payers have agreed to make for each CPT code). You cannot count on payment posters to catch underpayments with their naked eye; the comparison must be automated and systematic. It goes without saying that if you do billing in-house the comparison still should be done.

The need for automated comparison to allowables is not because of any short coming with the average payment poster, but because payers employ sophisticated techniques to make underpayments difficult to identify. Medical billing companies with well designed processes can counteract these techniques because they have much more scope than a single medical practice. By scope I mean that they see what payers do across multiple providers in multiple states. This broader view of the world allows a billing company that is leveraging its scope to uncover payer behaviors more easily than a single medical practice.

As billing companies look across multiple clients they will frequently see the exact same CPTs being underpaid by the same amount by the same payer in a given month across all of their clients. The following month they will see the same payer switch to underpaying a different set of CPTs.

Although the amount of the underpayments may be small ($5 to $15), the totals can be quite large: upwards of a 10 percent net reduction in the payments the payer sends the practice. Despite the magnitude of the total, the constant hopping from CPT to CPT for underpayments and the relatively small amount of the underpayment on any individual claim makes the loss of revenue hard to spot - let alone pursue.

The pattern outlined above is why it is critical that a strategy for pursuing underpayments is not based upon payment posters picking up on the underpayments. Most payment posters will notice a large underpayment, but it is too much to expect them to spot a $5 underpayment.

This single action (comparison of payments to allowables) can increase a medical practice's collections by 5 to 10 percent. This is why you need to insure this critical step is being completed by your medical billing service.

Identifying the underpayments is the first step of the journey. Dogged pursuit of the underpaid amounts is what actually drives up your practice's revenue. This pursuit needs to go down to even small underpayments because once a payer sees that the small underpayments are being pursued they typically taper off and contractual payments resume at the appropriate level. Much like a small child, the insurance companies are trying to see what the can get away with.

How To Set Up A Tickler File

In this lesson of the GTD Thirty Day Challenge we are going to talk about how to set up a tickler file, or specifically, how I set up my tickler file.

From what I can tell, David Allen is a big believer in the 43 folders tickler file. If you haven't seen a tickler file before, it is 12 folders for each month and 31 folders for each day. Right now it's January so I'd have my 31 folders behind January. As each day passes, I'd move the previous date behind February. Since today is the 21st for me. Folders for days 1-20 would now be behind the February tab.

How does this work? Let's say I got a bill today that I was due on February 3. Since it's important that I remember, I would put it in the February 3rd folder. When February 3 arrives, I would look in my tickler file and it reminds me to pay the bill.

If you asked me, I think using 43 folders for my tickler file is not the best way to set up a tickler file. First, it's hard to remember to check the tickler each day. You'll be asking yourself, "how do I remind myself to check the tickler file?" Secondly, it's very bulky and not very portable. Third, when you move the folders for each day to the next month you have to take items in that months folder and put them in the right day.

If you use GTD though, a tickler file is essential to set up because there are things in the future that you need to remember. The folder type of tickler is perfect if you have a lot of physical type items you use as reminders. For most people, their work doesn't create the kind of physical items that really justify a folder tickler file and I suggest setting up a tickler file differently to address the problems above.

How To Set Up A Tickler File

Step one is to create a plastic folder that I carry in my briefcase labelled "Waiting For" and all the things I need to remember on future dates go in there.

After that, I would create a folder in my email setup called "Yahoo Reminders". If you look at my folder setup in my other article called How To Set Up Your GTD email, you can see how I have this set up. I then filter all of my Yahoo reminders into this folder and they bypass my inbox.

The last component is Yahoo calendar. I put any item I need to remember and enter it as an all day event. I attach and email reminder to it that sends me a reminder 2 days ahead of the day I need to remember it. As a second reminder, a text is sent too.

So, let's take the above scenario again. I got a bill today that I need to remember on the 3rd of February. I go to my Yahoo! calendar and enter an all day event "Pay important bill" with a reminder scheduled for two days prior. I then take the bill and put it in my "Waiting For" folder in my briefcase.

On the 1st day of February, I get a Yahoo reminder that reminds me about the bill that needs to be paid on the third and it goes directly into my Yahoo reminder folder in my email account. In addition, a text goes out as well giving me a backup on my blackberry in case I can't get to my Yahoo reminder's folder in my email account. I review my blackberry text messages every day and review my reminders folder too as well if I have access to it.

This system works fantastic for me. It's extremely portable, it reminds me automatically and I don't have to rethink the items in my tickler when I move the tabs. If you are not using email reminders to help you remember stuff, you have no idea how this can effect your productivity. Even if you use 43 folders, I recommend email reminders 100% to be a part of your GTD system.
